Will-call pickup
What this is
A will-call order is collected from the warehouse by the customer or their driver instead of going on a truck. It's picked like any other order but never packed or shipped. It waits in a staging area until someone arrives. At the counter you photograph the handoff, record who took the goods, and confirm the pickup on your phone.
Before you start
- Role: Warehouse, Office or Administrator, on a phone or tablet.
- Settings: none.
- You'll need: a will-call order that has been picked and set down in a staging area. The office makes an order will-call by setting its Freight terms to WILL CALL (see Will-call pickups for the office side).
Step by step

Open the pickup queue. Tap Pickup ① in the bottom bar. It only appears while at least one will-call order is waiting. Office and Administrator users find a Pickup tile on their phone's home screen.

Each card shows the Area badge ② where the goods are waiting, the order number with a Will Call tag, and the customer. Will-call orders can sit for days, so the area is the quickest way to find the stack.

Open the order and check who's at the counter. Tap the card. The pickup screen shows the Customer with their account and PO, and a Will Call notice: Customer pickup · no carrier. Inventory will move when you confirm. Make sure the person in front of you is collecting for this customer.

Take the proof-of-pickup photo. Under Pickup photos, tap Take a Photo ①. The camera opens. Photograph the handoff: a signed receipt, the ID you checked, or the goods going out the door. The photo saves as soon as you take it and appears as a thumbnail. Take more if they help.

Confirm pickup ② stays greyed out until there's at least one photo.
Photo first, then the nameThe screen reloads after each photo, and a name you'd already typed is cleared. Take the photos first, then fill in Picked up by.

Record who picked it up. Once your photo shows as a thumbnail ①, go to Picked up by ② and do one of these:

- Tap a name. If someone has collected for this customer in the last 90 days, their name appears as a button above the box.
- Type the name of the customer or driver.
- Tap Scan driver's license ③ and point the camera at the barcode on the back of the license. Check the Scanned name against the front of the license, then tap Confirm. Only the name is kept. No license details are stored. Tap Type name instead to go back to typing at any time.

Add a note (optional). Use Notes for anything worth recording, such as "ID checked" or the name as printed on the receipt.

Confirm the pickup. Tap Confirm pickup ④. The button turns red and asks you to tap again, because this moves the stock. Tap it a second time. The Order picked up screen opens.

Not listed: the hidden form fields, the page's own photo upload control, which Take a Photo stands in for, and the hidden box that receives a hardware scanner's keystrokes.
What happens next
- The stock leaves. ConsignTrak records a stock movement for each line, and the supply partner's numbers update.
- The order counts as shipped. The office sees Picked Up At, Picked Up By and Notes on the order's page instead of tracking numbers, because nothing went on a truck.
- The photos stay on the order, on its Pickup photos card.
- Short lines go on backorder for the customer, just as they would for a shipment.
- The staging area frees up. When no will-call orders are left, Pickup disappears from the bottom bar.
The supply partner owns the goods until the customer has them. With no carrier and no tracking number, the photo is the only proof that the handoff happened and who received it.
Common problems
"Add at least one pickup photo above to confirm." — No photo has been taken yet. Tap Take a Photo first.
"Enter the customer or driver name to confirm pickup." — Picked up by was empty. Type or tap a name, then confirm again.
"Cannot release goods — order is blocked" — A pick exception on this order is waiting for the office. Don't hand the goods over. Ask the office to resolve it.
"That photo was too large (50 MB max). Try again." — Take the photo again at a lower resolution.
"Couldn't add that photo. Try again." — The upload failed. Check the phone's signal and take it again.
A HEIC photo is refused. — The hint says HEIC is accepted, but it isn't yet. Set the camera to save JPG ("Most Compatible" on an iPhone). This gap has been reported to the ConsignTrak team.
"Couldn't read that barcode" — The license barcode didn't scan. Tap Try again with the license flat and well lit, or tap Type name instead.
Pickup isn't in the bottom bar. — No will-call order is waiting. It may still be being picked. Check the pick queue, or ask the office.
"Pickup failed" — Something went wrong on the server. Refresh and try again. If it keeps happening, get the office.
