Statuses

Every record that moves through a process shows where it is with a status: a coloured tag beside its number, a column in a list, or a tab you can filter by. This page lists them all in one place, grouped by the kind of record. Each table says what the status means and what comes next.

The labels here are the ones on screen. For the full story of each process, follow the link under each heading.

Orders

See Order statuses for colours and the Order Flow bar.

Status	What it means	What comes next
Entered	The office saved the order. It can still be edited or cancelled.	The office adds lines and chooses Release.
Released	The order has its release numbers and is waiting for the warehouse.	The warehouse picks, packs and ships it. The Orders list adds Picking, Picked or Packed as the floor works.
Awaiting Pickup	A released will-call order that has been picked. The goods are waiting for the customer.	The warehouse records the pickup with a photo. The order becomes Picked Up.
Awaiting Direct Ship	A released order whose lines all ship from the supply partner. The warehouse has nothing to pick.	The office marks each line shipped when the supply partner confirms.
Partially Shipped	The warehouse shipped its part. A supply-partner-direct part hasn't shipped yet.	Becomes Shipped when the last direct part is marked shipped.
Shipped	Everything has gone. Stock left the shelf and was recorded against the supply partner.	The office chooses Close.
Picked Up	The customer collected a will-call order.	The office chooses Close.
Closed	The order is finished and read-only.	Nothing.
Cancelled	The office cancelled the order. Stock held for it was freed.	Nothing. A cancelled order can't be reopened.

Signs that aren't statuses. A red Order blocked banner means an open pick exception is holding the order. Rush and High tags are the order's priority.

Order lines

A line has no status of its own. Its Fulfillment column says who ships it and, for supply-partner-direct parts, whether that part has gone. See Direct ship and split fulfillment.

Label	What it means	What comes next
Warehouse	The warehouse picks and ships the whole line.	It follows the order through picking, packing and shipping.
Supply Partner Direct · Pending	The supply partner ships the whole line. It hasn't shipped yet.	The office marks it shipped when the supply partner confirms.
Supply Partner Direct · Shipped	The supply partner has shipped it.	Nothing. No warehouse stock moved.
Split · WH n / Dir n	Part ships from the warehouse, part from the supply partner. A ✓ means the direct part has shipped.	Each part follows its own path.

Direct-ship notifications

On the Direct-Ship Notifications page, each supply-partner-direct line shows whether the supply partner has been told about it.

Status	What it means	What comes next
Pending notify	Nobody has told the supply partner yet.	The office chooses Notify or Mark notified (no email).
Notified	The supply partner was told, with the date and who told them.	The line leaves the page once it's marked shipped.

Picks

A pick is the warehouse's work on one released order. The office sees its progress as the tag beside the order number in the Orders list. See The pick queue from the office.

Status	What it means	What comes next
Picking	A picker tapped Start picking. Lines are being picked.	Becomes Picked when every line is picked or reported short.
Picked	Everything that could be picked is off the shelf. The goods wait at the pack station, in a staging area, or for a will-call customer.	The packer checks each line and marks it packed. A will-call order goes to Awaiting Pickup instead.
Packed	The packer checked every line and marked the order packed. It waits at the Ship Station.	The warehouse confirms the shipment with its tracking numbers.
Shipped	The shipment was confirmed, or the customer collected it.	Nothing.
Cancelled	The order was cancelled, or the office sent it direct from the supply partner.	If the goods were already set down, the area shows needs clearing until someone puts them back and chooses Restocked.

When the office chooses Send back for re-pick on an exception, a picked order goes back to Picking.

Pick lines

Each line on the picker's and packer's phone shows how far it got.

Mark	What it means	What comes next
— (not picked)	Nobody has picked this line yet.	The picker picks it or reports it short.
✓ (picked)	The full quantity is in the tote.	The packer ticks it during pack verification.
! (short)	Fewer units than ordered were found. The line reads picked / asked for.	The shortfall goes on backorder when the order ships.
Not picked — resolved by office	The office chose to ship what was picked, so the picker never reached this line.	Treated as short: it goes on backorder when the order ships.

Pick exceptions

A pick exception is a problem reported from the floor: a short pick, a mispick or a quality issue. See The triage queue.

Status	What it means	What comes next
Open	Waiting for the office to decide. Usually the order is blocked.	The office resolves it with a disposition, or marks it awaiting the supply partner.
Open · Awaiting supply partner	Still open. The office has asked the supply partner and is waiting for an answer. It sits on its own tab. The order stays blocked.	The office resolves it when the answer comes, or chooses Clear awaiting.
Reviewed	The office resolved or acknowledged it. The decision, the person and the note are kept.	Nothing. The order carries on according to the disposition.
Picker undid	The picker or packer took it back before the office reviewed it. They found the item after all.	Nothing. The block on the order is lifted.

Order blocks

Sign	What it means	What comes next
Order blocked (red)	An open exception is holding the order. Packing, shipping and pickup are paused.	Lifted when the office resolves the exception or the picker undoes it.
Awaiting supply partner since…	The block is still on. The office is waiting on the supply partner.	As above.

Receiving batches

Status	What it means	What comes next
Draft	The shipment is being entered. Lines can be added, edited and removed. No stock has moved.	The office chooses Ready to Inspect, or deletes the batch.
Verified	The lines are locked for inspection. No stock has moved yet.	Every line is inspected, then the office chooses Post to Inventory. Revert to Draft goes back and clears the inspections.
Posted	In stock. Passed units are available and failed units are in quarantine.	Nothing, unless it has to be reversed with Void Batch.
Voided	A posted batch that was reversed, kept with its reason.	Nothing. This is final.

Receiving lines (inspection results)

Result	What it means	What happens when the batch is posted
pending	Not inspected yet. A batch with a pending line can't be posted.	—
passed	Nothing failed.	Every unit goes into available stock.
partial	Some units failed. The numbers beside it read passed/failed.	Passed units become available; failed units go to quarantine.
failed	Every unit failed.	Every unit goes to quarantine.
waived	Seen only on older batches. The line was let through without inspection.	Every unit went into available stock.

Quarantine

A quarantine hold is a posted receiving line with failed units. See Quarantine.

Status	What it means	What comes next
failed	Every unit on the line failed inspection and is held.	The hold stays until its receiving batch is voided. There's no release-or-scrap step yet.
partial	Some units passed and went into stock. The failed ones are held.	As above.

Held stock can't be picked for orders.

Cycle counts

See Running a count.

Batch status	What it means	What comes next
Draft	The day's items were chosen. Nobody has started counting.	The warehouse chooses Start Counting.
In progress	Counting is under way. Each line gets a count box.	Lines are counted and corrections approved, then someone chooses Complete.
Completed	The count is closed and kept as the record of that day.	Nothing.

Line status	What it means	What comes next
Pending	Not counted yet.	The warehouse enters the count.
Counted	A count was entered. Nothing has changed in stock.	If the variance isn't zero, the office chooses Approve Adj, or leaves it as a record.
Adjusted	The correction was approved and posted. The bin now shows the counted number.	Nothing. It can't be undone from the count.

Accounting periods

An accounting period is a month that an administrator closes to lock its stock activity. See Accounting periods.

Status	What it means	What comes next
Open	Activity can still be recorded in this month. Preview → shows how it reconciles so far.	An administrator closes it once the month's counts balance.
Closed	Locked, with who closed it and when. View reconciliation → shows the result.	Nothing. A correction goes into the current open month as an adjustment.

Supply partners see closed months as statements in the portal.

Shipments and boxes

A shipment is what the warehouse sends out for one order. It can have several boxes, each with its own tracking number. See Shipment tracking.

State	Where you see it	What it means	What comes next
Box 1, Box 2…	The order's Tracking section	Each box with a tracking number, linking to the carrier.	Nothing, unless a number is wrong. Then someone removes that box and adds it again.
flagged for office	The Tracking section; the Pending tracking queue	The warehouse shipped without a scannable label.	The office adds the numbers. The shipment leaves the queue.
— (no tracking)	The Tracking section	Nothing captured yet.	A box is added by scan, by hand, by file import or by an automatic carrier update.
Reconciliation flag	The Pending tracking queue	A carrier reported a shipment that ConsignTrak has no record of.	See Automatic carrier updates.

A removed box disappears from the shipment and the rest renumber. ConsignTrak still records who removed it and when. Removing every box from a flagged shipment puts it back in the Pending tracking queue.

Tracking file imports

See Importing tracking from WorldShip and FedEx.

Status	What it means	What comes next
PARSED	The file was previewed but never committed.	Nothing is applied. Upload it again to use it.
COMMITTED	The file was applied. The import's record shows each row's outcome.	Nothing.

Each row in the preview shows Matched, Void (clear), No change, Ambiguous, No batch, Unmatched, Other supply partner or Error. The import page explains each one.

People and records

Record	Statuses	What they mean
Supply partner, customer, contact	Active, Inactive	Inactive records stay on file but don't appear in pickers such as order entry.
Item	Active, Inactive, Discontinued	Discontinued items drop out of searches unless you tick Include discontinued.
Location (bin)	Active, Retired	A retired bin can't receive stock. It can be reactivated.
User	Active, inactive, locked	A locked user can't sign in until an administrator unlocks them. See Users & roles.
