Editing your own items
What this is
When the warehouse allows it, you can correct three things on your own items without emailing anyone: the description, the reorder level and the selling unit of measure. You make each change on the item page, one field at a time. Every change is recorded with the old and new values, so the warehouse office can see what you changed.
Item editing is off for every supply partner by default. The item record drives picking and ordering at the warehouse, so most warehouses agree it with you first. There's no button in the portal to ask for it; contact the warehouse. The demo used for this manual has it off, so the screens below are described rather than pictured.
Before you start
- Role: Supply Partner.
- Settings: the warehouse must have turned on item editing for your company. Office staff can read how in Portal behaviours with no on-screen switch.
- You'll need: an item that's already at the warehouse. You can't create new items from the portal. They arrive when the warehouse receives your stock.
Step by step

Open the item from Inventory in the portal sidebar (see Your inventory).

Find the pencil. When editing is on, a small pencil button sits beside Reorder level in the Stock card, and beside Description and Selling UOM in the Details card. If you don't see pencils, editing is off for your company.

Click the pencil beside the field you want to change. The line turns into a box holding the current value, with Save and Cancel beside it.

Enter the new value.
- Description: type the new text. It can't be blank.
- Reorder level: type a whole number, zero or more.
- Selling UOM: pick a unit from the list. Each shows its code and name, for example "EA — Each".

Choose Save. The button changes and asks you to click again. Click Save a second time to confirm. The line goes back to normal, showing the new value.
To back out instead, choose Cancel. The old value comes back and nothing is saved.

Every other field on the item page stays read-only. Part numbers, stock quantities, status and category can only be changed by the warehouse. Prices are set on the Pricing page.
What happens next
- The new value shows straight away on the item page and everywhere else the item appears, for you and for the warehouse.
- ConsignTrak records the change in the warehouse's audit trail: who made it, the field, the old and new values, and that it came from the portal.
- There's no approval step. If a change was a mistake, edit the field again or ask the warehouse to put it back.
Common problems
I don't see any pencils. — Item editing is off for your company. Ask the warehouse to turn it on.
"Description is required." — You saved an empty description. Type the description and save again.
"Reorder level must be a whole number." — The reorder level can't have decimals or letters. Enter a whole number such as 10.
"Reorder level must be zero or higher." — Negative reorder levels aren't allowed. Enter 0 to have no reorder level.
"Unknown unit code." — The unit you chose isn't in ConsignTrak's list. Pick another from the list, or ask the warehouse.
I want to change the part number or add a new item. — You can't do either from the portal. Contact the warehouse. New items arrive with your stock transfers.
