Order statuses

What this is

Every order has one status, shown as a coloured tag beside the order number on its page and as the colour of the order number in the Orders list. This page lists them all, what puts an order into each one, and what comes next. It's a reference: office staff use it to see where an order is stuck.

Before you start

  • Role: anyone who can see orders.
  • Settings: none.
  • You'll need: nothing.

Step by step

  1. Read the tag next to the order number on the order's page, or the colour of the order number in the list.

The status tabs on the Orders list: All, Entered, Released, Partially Shipped, Shipped, Closed, each with its colour dot

  2. Check the Order Flow bar on the order's page. Green ticks are finished steps with the date and time. The dark blue dot is the step the order is waiting on. Hollow circles are still to come.

The Order Flow bar of an Entered order: Entered ticked, Released waiting, the rest pending

The Order Flow bar of a released order: Entered and Released ticked, Picking waiting

  3. Look for the special labels. An order that's released but waiting on something other than the warehouse says so instead of Released: see Awaiting Pickup and Awaiting Direct Ship below.

The statuses

Status (tag)List colourWhat moved it hereWhat happens next
EnteredAmberThe office saved the order form.Add lines, then release. Still fully editable; can be cancelled.
ReleasedBlueThe office chose Release. Release numbers were assigned. The warehouse picks and packs it. The list adds Picking, Picked or Packed beside the number as the floor works. Can be cancelled.
Awaiting Pickup (a Released will-call order)BlueA Will Call order has been picked and is waiting for the customer to collect it.The warehouse records the pickup with a photo and the order becomes Picked Up.
Awaiting Direct Ship (a Released order with only direct lines)BlueEvery line is Supply Partner Direct, so the warehouse has nothing to pick. The office marks each line shipped when the supply partner confirms (see Direct ship).
Partially ShippedOrangeThe warehouse shipped its part, but a supply-partner-direct part hasn't shipped yet.Becomes Shipped when the last direct part is marked shipped. Can still be cancelled; the shipped part stays shipped.
ShippedGreenEverything has gone: the warehouse shipped it from the Ship Station and any direct parts are marked shipped. Stock came off the shelf and each unit was recorded as a movement against the supply partner. The office chooses Close.
Picked Up (a Shipped will-call order)GreenThe customer collected a Will Call order. The office chooses Close.
ClosedGreyThe office chose Close on a shipped order.Nothing. The order is finished and read-only.
CancelledRedThe office chose Cancel (and clicked again).Nothing. Committed stock was freed. A cancelled order can't be reopened.

Other signs on the order

SignWhat it means
Rush (red) or High (amber) tagThe order's priority. Normal orders have no tag.
Picking, Picked, Packed (in the Orders list)How far the warehouse has got with a released order.
Order blocked (red banner on the order)The picker reported a problem — a short pick, a mispick or a quality issue. Packing, shipping and pickup are paused until the office resolves it (see Pick exceptions). An Awaiting supply partner since… label means the office is waiting on the supply partner to decide.
Drop ship tag on Ship ToThe order goes to one of the customer's other addresses.
+ direct portion, Direct ship or Will Call badge on the Order Flow barSome or all of the order ships from the supply partner, or the customer collects it. The bar's steps change to match.

Each step is a link: choose it to jump to the part of the page that explains it. Cancelled orders don't show the bar.

What happens next

  • The History card at the bottom of the order shows who entered, released, picked, packed, shipped or cancelled it, and when.
  • The Orders list's status tabs filter by these statuses (see Searching and filtering). Cancelled has no tab of its own; cancelled orders appear under All.
  • Stock only comes off the shelf when an order becomes Shipped (or Partially Shipped for the warehouse part). Until then it's only committed.

Common problems

My order says Released but nothing's happening. — check the Orders list for a Picking tag, and the order's History card for Picking · started. If neither, the warehouse hasn't started it; check its priority.

The order is stuck on Partially Shipped. — a supply-partner-direct line hasn't been marked shipped. Open the order's Awaiting Direct Shipment panel and mark it once the supply partner confirms.

There's a red "Order blocked" banner. — a pick exception is open. Choose the exception link in the banner and resolve it.

I can't find a cancelled order in the list. — choose the All tab and search for it.
